1. Overview
As the Event Organiser of Battle for Black Cat Medieval Festival & Market, I am committed to ensuring the highest standards of safety, security, and safeguarding for all attendees, participants, traders, and staff. The measures outlined in this document have been implemented to minimise risk, ensure a safe and enjoyable environment, and comply with best practice guidance for public events.
---
2. Safety Measures
The event site has undergone a full risk assessment, which is reviewed and updated ahead of each event. Key safety provisions include:
Clearly marked emergency exits and first aid points.
Presence of trained first aid personnel on site during public opening hours (St John's Ambulance)
Access routes for emergency services maintained and kept clear at all times.
Safe setup and operation of structures, equipment, and trader stalls, reviewed by event team via site walk around on a regular basis.
All participants briefed in advance on site-specific health and safety protocols.
Hazardous areas (e.g., open flame cooking, black powder zones) are appropriately risk assessed, and regularly reviewed by event team via site walk around on a regular basis.
---
3. Security and Site Monitoring
To ensure the security of persons and property:
Perimeter checks out of public hours will be conducted and all on site out of hours visitors briefed on protocol to follow in event of security issues or concerns.
Any individual on site without permission during restricted hours will be asked to leave, and further action will be taken if necessary.
---
4. Safeguarding
We take our responsibility to safeguard all attendees, particularly children, young people, and vulnerable adults, seriously. Our safeguarding protocols include:
All event staff, volunteers, and reenactment group leaders are made aware of our Safeguarding Policy and their responsibilities.
Any concerns or incidents must be reported immediately to the Event Organiser.
Clear signage is displayed with contact details for Event Organiser.
We operate a zero-tolerance policy on inappropriate behaviour, abuse, or harassment.
Any group or individual considered to be in breach of safeguarding policy or a significant risk will be asked to leave, and further action will be taken if necessary.
---
5. Emergency Contact
I, John Mackney, as Event Organiser, will serve as the on-site emergency contact outside of public hours. I will be available overnight for any urgent matters.
📞 Emergency Contact Number (available 24/7 during the event): 07985 288454
If any person is seen on site without authorisation, or if behaviour is observed that is inappropriate, threatening, or of concern, you must contact the emergency number without delay.
---
6. Staff Availability
It is agreed that Chris Fox will be off-site between the hours of 12:00am and 6:00am on Friday 30th August and Saturday 31st August. During this time, all overnight safety and incident response matters will be managed by the Event Organiser John Mackney.
---
7. Risk Statement
While all reasonable precautions and protocols have been implemented to ensure safety and minimise risk, attendees participate in the event at their own discretion. Risk assessments are in place for all relevant activities, but participants (particularly those involved in reenactment displays or combat) must ensure their own compliance with agreed safety standards.
All individuals on site must adhere to instructions given by event staff and security at all times. Non-compliance may result in removal from the site and exclusion from future events.
